Our terms and conditions are here to protect both you and us. We want you to feel comfortable with the service that we offer. In making payment of the required deposit to secure a vehicle, date, and chauffeur, you are also accepting and agreeing to the terms and conditions of hire and agree to be bound by them.
A deposit/booking fee is required at the time of booking, this can be paid by Bank transfer, cash in person or a cheque drawn from any English bank in £ sterling, cheque payments will not confirm a booking until the cheque has cleared.
The remaining balance must be paid in full 30 days prior to the wedding date. Please note that if the remaining balance payment is not received and cleared within the timescale you will forfeit the deposit and the vehicle and date will become available for general release.
The booking price is the agreed amount once arrangements have been established. This includes working out the number of journeys, and routes, calculating mileage and journey times, and including any extra requirements that may have been requested.
Unfortunately due to the nature of the insurance required to operate, we have the restriction of not being able to carry children under three years of age. All children carried in the vehicles must be under the supervision of an appropriate adult.
Minor changes to a booking i.e collection times, ribbon colour, etc will incur no extra charge. Greater changes to the booking i.e dates, venues, collection points, and vehicle changes will need to be recalculated and charged as extra where deemed necessary with no exceptions.
Cancellation to a confirmed booking needs to be received in writing or email (if sent from email the email address must be the same one as used at the time of booking). Telephone cancellations will not be accepted. If the cancellation is after ten days of booking the deposit/booking fee is non-refundable. If the cancellation is made within the 30 days prior to the wedding date and the balance payment has been paid then the balance will be returned less a 25% handling charge. If the balance hasn`t been paid we reserve the right to issue an invoice for 25% of the outstanding payment. Any refund given is at the discretion of Two Hearts Wedding Cars. Any postponement over 90 days is also deemed as a cancelation and treated in the same manner. Should the rare occurrence of the cancellation be made by us then the full amount paid by the hirer will be returned, and any further claims for compensation will not be accepted. * Pandemic exclusions apply, for our latest updates and durations on these exclusions please see our Facebook page.
We will have the right to refuse entry into any vehicle under our control to any person who is, or appears to be under the influence of alcohol or illegal substances. Any offensive, abusive or intimidating behaviour directed at the chauffeur and/or any member of Two Hearts Wedding Cars staff by the hirer or ANY member of the hirer’s party or guests will result in the withdrawal and termination of hire. Any claim or compensation will not be accepted and our decision will be final.
Every effort is taken to ensure against damage or loss. It is the hirer’s responsibility or their appointed agent’s to ensure that all personal items are removed from the vehicle at the end of the hire period. The vehicle once left the final location will not return with any items that have been left. Any item found in the vehicle will be held for 14 days at our registered address and is the responsibility of the hirer or their agent to reclaim any items by appointment. Valuables should not be left unattended in the vehicle at any time. It is the hirer’s responsibility to ensure that they or their party keep clear of any part of the vehicle that could dirty, foul, or damage their clothing. We accept no responsibility for loss or damage to personal belongings or clothing.
Due to the nature of our cars some do not have seatbelts, children over the age of three may be carried in our vehicles but this must be under the supervision of an appropriate adult. All passengers must remain seated at all times. Cars must not carry more than the chauffeur deems fit or exceed the vehicle’s specifications. Under no circumstances should anyone be carried on another person’s lap. No animals are permitted, with the exception of assistance dogs, which must be approved at the time of booking.
The hirer should ensure that there is adequate access, turnaround, and exit for the vehicle(s) at all address`s to be attended to. If at any point the driver feels that this is restricted in any way then the driver will stop at the nearest safe point available, regardless of distance. The driver or any member of Two Hearts Wedding Cars has the right to refuse to travel on any surface that they feel is unsafe or that they feel may cause damage to the vehicle. If you have or are aware that there is an unmade or uneven road surface to travel on then this should be informed of at the time of booking.
The chauffeur will announce the arrival of the wedding transport to the hirer or member of their party at the address given. If the party is being collected from a hotel, it is advisable to make themselves available at the agreed time. The Chauffeur will inform the hotel reception staff that they are there to collect the Bridal party and ask for them to contact the party. If after an adequate period of time the hotel staff are unable to locate the passengers and they have not made themselves known to the chauffeur, the vehicle will leave. Claims for refunds or compensation will not be accepted.
The hirer will be informed of any delay on our part arising from either a vehicle breakdown or a delay beyond our control. Whilst every effort is taken to keep our vehicles in good order unforeseen events can arise, if the vehicle you have booked develops a fault that cannot be rectified before leaving our base location in a timely manner a second vehicle will be despatched as a replacement. If the value of the replacement vehicle is less than the hired vehicle the difference will be refunded, if the value of the replacement vehicle is higher then no extra charge will be added. The decision will be given to the hirer whether to accept this option before we leave our base location. If this option is not accepted by the hirer then a full refund will be issued and our liability will be no further. We do not enter into organizing alternative transport from other providers as we cannot be responsible for the condition of the vehicles or the professionalism or attire of their staff. Should our vehicle become unserviceable during a booking a refund will be issued, and our liability is no further. Whilst every effort is taken in finding the best routes for your journey, circumstances beyond our control may arise. Roadworks, local events, rural activities, road closures, accidents, and even the weather can affect journey times. Any delays en route to any location are beyond our control and are accepted as unforeseen circumstances and this is accepted by the hirer at the time of booking. No liability can be accepted for any of the above.
Whilst every effort will be taken to uphold our responsibilities and to make your day run smoothly British weather is very unpredictable. In the event of adverse weather, we will decide if it is safe to operate our vehicles in the conditions at the given time. Should we decide that it would be hazardous to operate in the given conditions a more suitable vehicle may be offered, if the offer of the replacement is not accepted a full refund will be issued with no further liability. Safety will always be observed and shall not be compromised. During the winter months it may be advisable to have a backup plan should inclement weather be forecast. Any photographs taken with the consent of the couple by Two Hearts Wedding Cars may be used in any publicity.
The Hirer agrees that if any member of their party causes damage/theft of Two Hearts Wedding Cars property or incites others to cause damage/theft to the vehicle or its contents, service will be immediately terminated. The Hirer also agrees that they will be liable for any damage/theft of the property of Two Hearts Wedding Cars and will repay the cost of repairs or replacement. No items are to be attached to the vehicle by any of the parties. The total cost involved will include any bookings which cannot be fulfilled. Should the costs not be paid then legal proceedings will be implemented.
The car will be cleaned and prepared for your wedding before leaving our base location, whilst every effort is taken for the car to arrive to you in a clean condition the weather and road conditions may impact upon this. Whilst confetti and rice that is carried into the car on clothing is acceptable the throwing of these items is not allowed inside the vehicles. Silly string is not permitted to be used in the area where the vehicle is present. Should any of the above-mentioned items be used in a manner that causes excess cleaning the hirer will be liable for any costs involved including loss of future hire. Should any member of the party that is being carried be taken unwell in the vehicle a cleaning charge will also be charged to the hirer.
These are offered to the Bride & Groom and are given as a courtesy along with any in-car entertainment, the use and availability do not form any part of the hire agreement. Any item offered as a complimentary gift is offered at the discretion of Two Hearts Wedding Cars and extends only to the Bride & Groom.
Two Hearts Wedding Cars will not be held responsible for delays or cancellations of ceremonies or receptions, missed appointments or delays, traffic congestion, poor weather, incorrectly advised timings, incomplete address details or any other circumstances beyond our control. Should contact not be made between Two Hearts Wedding Cars and the hirer one month before the wedding date we would advise the hirer to contact Two Hearts Wedding Cars to complete the details required for the wedding day.
Our Terms and Conditions are in place for both of our protection and do not affect your consumer rights. We reserve the right to amend any of these at any time, any confirmed bookings will be notified of any changes and have the right to cancel without penalty.
Our terms and conditions of hire for the inflatable castles will be given to each hirer and form part of the hire contract. If you have any questions or concerns please do get in touch with us.
